Assistant to the General Manager Nordics and Office Manager (m/f/d)

Your tasks
For our future Nordic office, we are looking for an efficient, proactive, and detail oriented Assistant to the General Manager and Office Manager to join our team. The Assistant to the General Manager (GM) supports the GM and the wider Nordic leadership team by ensuring smooth daily operations, effective coordination across functions, and high quality administrative support. This role plays a key part in maintaining operational excellence, enabling efficient decision making, and strengthening collaboration across the affiliate and with our German headquarters (HQ). The role demands a consistent range of high-quality services which require a blend of administrative expertise plus strong interpersonal and communication skills under confidentiality.
Key responsibilities
- Provide comprehensive executive support to the General Manager, including calendar and meeting management, follow‑ups, and coordination of travel logistics.
- Prepare accurate and well‑structured presentations, reports, and communication materials.
- Chair and support meetings as needed, including agenda preparation, minute‑taking, and maintaining the leadership team meeting calendar.
- Manage the full contract lifecycle (drafting, reviewing, archiving) and ensure compliance in collaboration with internal stakeholders and legal.
- Oversee smooth daily operations of the future Nordic head office and act as primary contact for vendors, external partners, and office‑related services.
- Organize internal meetings, hotel and conference bookings, events, team‑building activities, and provide logistical support for HQ visits.
- Collaborate closely with cross‑functional teams (Medical, Marketing, Market Access, Sales, Finance) and ensure strong communication with the German headquarters.
- Support onboarding of new employees and contribute to a welcoming, productive office environment.
- Assist with project coordination, operational improvements, and process optimization while handling sensitive information with discretion.
Your profile
- Minimum 5 years of experience in administrative support, executive assistance and office coordination ideally within the pharmaceutical, biotech, or healthcare sector.
- Strong skills in contract management and administrative processes.
- High level of efficiency, accuracy, and organizational ability.
- Excellent communication skills and ability to work cross‑functionally.
- Proficiency in Microsoft Office 365.
- Fluent in English and Swedish as mother tongue
- Work well under pressure, flexible, proactive and organized
